User Groups

Charitylog uses several different methods to grant access to the system. Users are given basic access based on whether or not they are Active and if they have the right credentials. Once someone has logged in, their User Group comes into play. The system uses User Groups to grant users access to different bits of the system.

Every User Group has a Group Access screen which allows a system administrator to grant that Group access to the system. The Groups can also be used when creating things like Uploaded Documents, Extension Databases and Private Notes. In all these cases, one or more User Groups can be selected to be given visibility of the document/data/etc.

The main limitation to be aware of is that a User can only be in one Group. Charitylog can be set up for each customer so that there's an appropriate level of control - somewhere between every user having their own Group (which would be most flexible but a nightmare to administrate) and every user being in the same Groups (easiest to administrate but likely to be insecure/too open).

The Groups we have settled on are:

HSCAs[edit | edit source]

This is a group for the HSCAs out in the GP surgeries. It allows them to log in at a "read only" level and see what's happening with the clients that they have referred.

Limitations[edit | edit source]

  • no access to reporting
  • no access to system configuration
  • no viewing of any organisation/person records apart from Members
  • no editing of Members

Volunteers[edit | edit source]

This group is for volunteers who log into the system (I&A volunteer workers and so on).
