The configuration of volunteers has been set up by Rob with input from Val and Teresa.

Volunteers have basic information on a "Details" page, and also a "Monitoring Info" tab for more volunteer-specific things. The key dates to do with their DBS are stored on this tab - issue date, expiry and so on.

The volunteer application process[edit | edit source]

Pre-Charitylog, volunteers were only entered to Filemaker once they had actually "made it" through the application process. Volunteers that hadn't "made it" yet were stored in a spreadsheet. In Charitylog, volunteers should be added from the word go - as soon as they express an interest in volunteering - so that we can count how many volunteers applied but didn't "make it".

When volunteers apply, they should be given a New Referral to the Volunteer Management project. This project is only fully visible to Val, Teresa and the service managers. Key pieces of information are attached to this Referral. There is a "Volunteer Application Timeline" Extension Database, linked to these Referrals, which holds key dates about their application. Every time a Contact is recorded, this Extension Database will "pop up". Or it can have data entered manually using the link from the Contact History tab.

There is also a general "Status" field on each volunteer's record. This is set up with options that broadly mimic those from Filemaker - choices of "Active Volunteer", "Lapsed" and so on.
